Fill out the attached form and submit it at least a week before your event takes place.
Explain to the photographer what he or she will be shooting. For example, will the event be outside? How long will the event take place? It is important to let the photographer know as much as you can about the shooting site as possible so the photographer can bring the equipment needed to cover the shoot.
Let the photographer know a little about the story that might go along with the event or profile. A "budget line" is the who, what, where, when, why and how of the event.
The editors of The Battalion will take care of the package and planning sheet. The editors will also assign the photographer or graphic artists covering the event.
